ANNOUNCEMENT - HR Assistant
Medecins Sans Frontieres
is an international organisation, which provides assistance, to populations
in distress, to victims of natural or man-made disasters and victims of
armed conflict, doing so irrespective of race, religion, creed or political
convictions.
Our ultimate purpose
is provide emergency medical aid to populations in danger. Our programmes
are based in South Sudan and are currently working in four locations.
The support office is based in Lokichoggio, Kenya.
The Position:
MSF-Holland, South Sudan is recruiting a HR Assistant to be based in the
Juba Office. This person will ensure efficient and effective administration
of expatriate and national staff in MSF Holland South Sudan Mission.
Core responsibilities
and tasks:
Human Resources Administration of expatriate staff
¢ Maintain personnel administration including ticketing, visa applications,
holiday and sick-leave registration, per diem sheet, personnel files etc.
of the expatriates.
¢ Keep a record of all movements with regard to the Expatriate staff
IN/OUT of the country/projects and support the HR Officer in the administration
and the HRM planning and reporting data on expatriate staff.
Human Resource Administration of National Staff
¢ Assist in managing of labour contracts, use of salary level, holiday
planning, according the National Staff regulations and the guideline on
HRM of national staff.
¢ Maintain national staff (Southern Sudan) personnel files in good
order and up-date them as necessary and advice (where/when necessary)
the HR Officer on the labour law of Southern Sudan.
General Administration
¢ Organize and handle all international/local flights and travel
arrangements for expats and national staff, upon direction of the HR Officer
and up-date the 'Expats movement' overview.
¢ Arrange all flight bookings for passengers on flights to Nairobi
and Loki and liaise with projects and airline companies.
¢ Arrange the Guesthouse for the visitors of MSF.
¢ File all documents accordingly
¢ Keep all Admin files in a systematic manner both on soft and hard
copy filing
¢ Keep an up-to-date record of all items related to National and
Expatriate staff Administration
Requirements
¢ Relevant professional/vocational education in (Personnel) Administration
¢ Minimum 2 years workings experience in a Personnel dept.
¢ Good skills of Microsoft Word, Excel and Outlook express
¢ Excellent command of English language
¢ Knowledge of Sudanese Labour law
¢ Proven strong organization skills and accurate working style, able
to prioritize workload
¢ Able to work independently as wells as to work in a team
¢ Punctual and able to work to deadlines
